Information we handle

When you browse the website, we record limited technical and usage information such as pages viewed, link clicks, referral source, browser and device type, approximate country, a hashed network address, and randomly generated visitor and session identifiers. If you send an enquiry or become a customer, we also handle the contact, vehicle, transaction, payment, logistics and document information needed to respond and perform the requested service.

Why we use it

We use information to operate and secure the website, understand which vehicles and services are useful, answer enquiries, prepare offers, manage vehicle sourcing, rental and delivery work, keep an accurate business paper trail, meet legal obligations and protect legitimate business interests. We do not sell personal information.

Google Drive backup and office Gmail intake

An authorized owner may connect a regular Google Drive account to create a secondary recovery copy of private operational files. Although Google displays the permission needed by the service, The Motor List uses Drive access only for the configured Motor List backup folder: creating its folder structure, uploading queued copies and downloading those copies for integrity verification. Google Drive is not used for advertising, profiling or public website delivery.

The owner may separately connect the Google mailbox that receives office@themotorlist.com. The service considers only messages addressed to that intake address, sent by an approved Motor List staff address and containing the required new-car phrase in the subject or body. For an eligible message it preserves the complete email, text, links and attachments as private vehicle-intake evidence, queues the same CAR-ID hierarchy for Drive backup, and applies a processed label only after the private record succeeds. It starts from the connection time, does not sweep older mail, does not send mail, and never publishes email content automatically.

The Motor List's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

Storage and sharing

Operational records are held in The Motor List's controlled database and private file storage, with authorized backup copies in the connected Google Drive folder. Access is limited to permitted staff and service providers needed to operate the system. Information may also be disclosed where required by law, to prevent fraud or protect rights, or to professional advisers under appropriate duties of confidentiality.

Retention and security

We retain information for as long as it is needed for the purpose collected, an active customer or vehicle matter, accounting and legal recordkeeping, dispute handling, or recovery integrity. Access controls, private storage, audit history and integrity checks are used to protect records. No online service can promise absolute security.

Your choices and rights

You can use your browser's Do Not Track setting to stop the site's own usage recorder. Depending on where you live, you may also have rights to request access, correction, deletion, restriction, objection or portability, and to complain to a data-protection authority. Some records may need to be retained for legal or contractual reasons.
